Privacy Policy
Operated by: Binaried Technologies Private Limited (hereinafter referred to as the "Company") for the HiNivaas software and technology ecosystem (hereinafter referred to as the "Platform").
Your Trust is Our Foundation — Welcome!
✨ When you step into our Platform, you are trusting us with elements of your daily routine. We understand this is an immense responsibility, and we are committed to keeping your information safe, secure, and under your absolute control. Because people trust us to power their homes, we go above and beyond to protect that confidence every single day.
We believe that privacy policies should not read like complex puzzles or intimidating corporate warnings. Protecting your privacy is our primary focus, and we want to explain exactly how we do it in simple, honest, and completely transparent language. Think of this document as our digital fence: built to keep out the noise while preserving the beautiful harmony of your neighborhood.
Our technical platform is meticulously designed in compliance with the Digital Personal Data Protection (DPDP) Act of India and is engineered in alignment with international data security and privacy compliance standards.
Privacy at a Glance (TL;DR):
- Absolute Data Sovereignty: Your data belongs to you and your community. We do not sell, barter, lease, or trade your personal information to outside marketing agencies, advertisers, or data brokers.
- Absolute Chat Privacy: Your direct conversations and messages are strictly confidential. We enforce a zero-sharing policy for all in-app communications. No one—meaning absolutely no one, not even your society admins—has access to your private chats.
- No Financial Account Storage: When paying your community dues or maintenance bills online, your transactions route through secure, PCI-compliant third-party gateways. We never capture or store your credit card details, passwords, or UPI PINs.
- Simple Privacy Rights: You hold the absolute right to view, update, or completely erase your personal profile data directly from our application whenever you choose.
By using our applications, dashboards, or web portals, you signify your agreement to the data collection and processing activities outlined in this Policy.
1. Definitions & Community Roles
To keep this policy simple, transparent, and easy to read, we use the following standard terms to define our data ecosystem and shared community roles:
| Defined Term / Role | Context in Our Community |
|---|---|
| The User | This includes residents, owners, tenants, family members, committee administrators, staff, and visitors. |
| Managing Association | The Resident Welfare Association (RWA), Cooperative Housing Society, Apartment Committee, Condo Board, Builder, or Developer managing the physical estate. |
| The Company | Binaried Technologies Private Limited. We serve strictly as a digital utility developer and technology provider to the Managing Association. |
| The Platform | The HiNivaas software, mobile applications, guard gate layouts, web dashboards, and associated administrative tools. |
2. Scope of This Privacy Policy
This Privacy Policy governs how personal data is processed across the Platform. It applies to all individuals accessing our services, whether on-site at the Designated Premises or interacting remotely with our portals.
Please note that the Platform functions as an administrative extension of the local utilities selected by your Managing Association. The Association utilizes these systems to coordinate daily neighborhood operations, and we process information solely to execute those technical workflows under our service agreements.
3. What Information We Collect
To keep your community safe, automate complex administrative workflows, and put lifestyle conveniences at your fingertips, we process different types of information depending on how you utilize the Platform:
A. Account Information
Upon registration, we collect basic account information such as your name, email address, and primary and secondary mobile numbers. You remain in control of how this information is shared within your community. Through the platform features, you can choose to keep your details visible to no one, only members of your own unit, your community administrators, or the wider community—however you would like to share them.
B. Community Information
We may also collect community-related information such as your flat or villa number, occupancy status (for example, owner or tenant), and vehicle registration details (where voluntarily provided). This information helps us provide community-specific features such as notices, visitor management, voting, emergency communication, parking management, and other day-to-day community services in a seamless and accurate manner.
B. Community Log & Utility Inputs
We process data entered to facilitate daily estate functions. This includes temporary entry and exit logs, service provider check-ins, parcel delivery drops, parking slot reservations, amenity booking queues, home automation schedules, and maintenance bill clearances.
C. Voluntary User Submissions
We process information you choose to post on shared spaces, such as community notice boards, feedback ticketing systems, local marketplace listings, neighborhood discussion forums, or opinion polls.
4. Why the Information is Collected
We process your personal information strictly to deliver, optimize, and maintain the four pillars of our technology:
- Governance: Managing user profiles, coordinating community notice boards, generating financial ledgers, and distributing community alerts.
- Security: Facilitating secure visitor entries, operating guest clearance prompts, enabling child exit authorization guard alerts, and configuring real-time alert notifications for on-site CCTV systems.
- Automation: Programmatically compiling maintenance utility bills, calculating invoices, tracking amenity booking queues, and generating digital receipts.
- Convenience: Tracking helper check-ins, facilitating clubhouse facility queues, and coordinating neighborhood forums.
- Platform Security: Detecting, investigating, and preventing malicious traffic, technical crashes, identity theft, or system vulnerabilities.
5. Complete Chat & Communication Trust
We know that open, friendly communication is the heartbeat of any thriving neighborhood. To help you connect with your neighbors, coordinate events, and discuss community updates with complete confidence, our Platform provides dedicated, high-performance direct chat and group communication features.
🔒 Absolute Conversation Privacy
We believe your private conversations should remain completely private. **We do not share your private chats, direct messages, or group conversations with anyone—meaning absolutely no one.**
RWA administrators, committee members, developers, managing agents, and external third parties have **zero access** to your direct messages. Your chats are encrypted in motion and securely isolated on our servers, ensuring your neighborhood connections are built on a solid foundation of absolute privacy and trust.
Our chat channels are completely ad-free and tracking-free. We do not scan your private messages for keywords, and we do not use your conversation topics to curate ads or commercial suggestions. You can use our connect features freely, knowing that your digital neighborhood conversations are entirely your own.
6. Limited Disclosures & Sharing
We do not sell or monetize your personal information. Your data is accessed or disclosed only under the following strictly defined conditions:
- Managing Association Oversight: Because the Platform is an administrative tool, designated committee members have access to the dashboard logs of their specific society for record-keeping and security. To guarantee transparency, if an administrator accesses sensitive resident records, our system notifies you along with the reason for access.
- SaaS Infrastructure Partners: We partner with trusted utility providers to deliver communication services (such as SMS, push notifications, and email engines), secure cloud hosting, payment gateways, and hardware integration endpoints. These partners are bound by strict contractual agreements to keep your data confidential.
- Legal Compliance & Intermediary Obligations: Under the Information Technology Act, 2000, and the DPDP Act, we may disclose personal data to law enforcement or court officials if required to satisfy legal processes, investigate fraud, or defend against security breaches.
- Corporate Restructuring: In the event that the Company merges, reorganizes, or is acquired, user information may be transferred to the new entity. All users will be notified before their personal data becomes subject to a different privacy framework.
7. Data Retention & Purging Cycles
The Platform maintains strict limits on data retention to minimize security liabilities, respect your digital space, and ensure compliance with DPDP principles:
- Visitor and Utility Log Purging: All visitor logs, gate entry records, and physical check-in parameters are retained for operational safety as determined by your Managing Association. However, our system systematically and permanently purges these historical logs from our databases once they are no longer deemed necessary for security or operational audits. Once deleted, this information is completely unrecoverable.
- Society Account Inactivity: In the event that your housing society or building development discontinues its subscription on our Platform, all collective databases, user files, and Association configurations are safely and permanently deleted from our servers.
- Transactional and Regulatory Retentions: We may retain specific transactional invoices, financial logs, and billing ledgers for a longer period if mandated by Indian tax regulations, corporate audits, or central law.
8. Your Privacy Controls & Rights
Under the DPDP Act of India, you possess sovereign controls over your digital identity:
- Right to Access & Correction: You can review, update, and modify your contact information, names, and profile photographs directly from your user dashboard.
- Right to Opt-Out: You can choose to opt-out of non-emergency notifications, daily helper check-in alerts, clubhouse facility schedules, or neighborhood forum updates directly in the app.
- Right to be Forgotten (Erasure): You can request that your personal profile and historical activity logs be permanently deleted from our active databases. You can trigger this right by choosing to delete your apartment profile in the app, uninstalling the software, or writing to our Data Protection Officer.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to match technological updates, legal revisions, or service improvements. Any changes will become effective immediately upon posting. In the event of material changes, we will notify you through a prominent notice on our Platform or by sending an email directly to your registered address prior to the change taking effect.
